Answer Rentvine Work Order Status Questions on WhatsApp
This recipe answers “when is someone coming?” in chat. It finds the tenant’s open work orders in Rentvine and replies with the status and the scheduled date. Part of connecting Rentvine to WhatsApp and AI chat.
What happens today
Once a repair is logged, tenants message again to ask when someone is coming. The property manager opens Rentvine, finds the work order, checks with the vendor and replies. The same tenant often asks twice, on two channels.
The flow that works
- AeroChat matches the tenant to their lease in Rentvine.
- It looks up the open work orders for their unit.
- It replies with the status and the scheduled date of each one.
- If the problem has changed, it logs the new details as a new work order.
- It hands overdue work orders to your team.
The recipe
Copy this into AeroChat
When a tenant asks about a repair they reported, follow these steps.
- Find their lease in Rentvine by phone number or email. If there is no match, ask for their unit address and the name on the lease. Only continue if both match.
- Look up the open work orders for their unit in Rentvine.
- Reply with the status of each one and the scheduled date if there is one.
- If the problem has got worse or there is a new problem, ask for the details and create a new work order in Rentvine for the unit.
- If a work order has been open for more than seven days (example), tell them our team will follow up today and hand the conversation over.
Never promise a visit date that is not on the work order. Never share another unit’s work orders. Reply in the customer’s language.
Change the number of days before a handover to your own before you paste it.
What to connect
- Rentvine. Create an API key in the users, roles and API settings of Rentvine, with a role that can read leases and work orders and create work orders. Paste the key, its secret and your Rentvine account name in when AeroChat asks.
- Your knowledge base. Upload your maintenance policy and usual response times to AeroChat.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Rentvine, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Rentvine’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide
- How long a work order can stay open before a person follows up.
- Whether AeroChat names the vendor, or only the status and date.
- Who gets the handover.
The result to expect
Tenants get the status of their repair straight away, and your team only hears about the work orders that are overdue.
Measure it with your own numbers: status messages your team answers each month, and work orders open past your target, for a month before and after.
Next: turn repair messages into work orders.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Rentvine connection behind it. See what each channel does on the Rentvine integration page.
