Turn WhatsApp Quote Requests into Zoho Books Estimates
This recipe turns a quote request in chat into a draft estimate in Zoho Books, with prices from your own item list. Part of connecting Zoho Books to WhatsApp and AI chat.
What happens today
A customer sends a list of products and quantities on WhatsApp and asks for a quote. Someone retypes the list into Zoho Books, looks up the customer, and sends the estimate the next day. Details get lost between the chat and the estimate, and some requests sit unanswered until the customer chases.
The flow that works
- AeroChat asks which products the customer needs and how many.
- It finds each one in your Zoho Books items and replies with the price.
- It finds the customer in Zoho Books, or creates a new contact.
- It creates a draft estimate with the items and quantities.
- Your team reviews the estimate and sends it from Zoho Books.
The recipe
Copy this into AeroChat
When someone asks for a quote or a price for several products, follow these steps.
- Ask which products they need, how many of each and the delivery address, if they have not said.
- Find each product in our Zoho Books items. If a product is not on the list, say our team will check it and leave it off the estimate.
- Reply with each product, its unit price and the subtotal.
- Find the customer in Zoho Books by email or phone. If there is no match, ask for their name, company, email and phone number and create a new contact.
- Create a draft estimate in Zoho Books for that contact with the items, quantities and our standard prices, and a note with the delivery address and the channel they used.
- Tell them our sales team will check the estimate and send it within one working day (example).
Never offer a discount or change a price. For orders worth more than 10,000 (example), hand the conversation to our sales team after creating the draft. Reply in the customer’s language.
Change the order limit and the reply time to your own before you paste it.
What to connect
- Zoho Books. Approve AeroChat’s access to your Zoho Books organisation when AeroChat asks. It reads items and contacts and creates contacts and estimates. There is no key to copy.
- Your knowledge base. Upload your product details, minimum order quantities and delivery terms to AeroChat so it can answer before it quotes.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Zoho Books, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Zoho Books’ public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Whether estimates stay as drafts or go out after review.
- Which orders always go to a person.
- Who on your team reviews chat estimates.
The result to expect
Quote requests become draft estimates in Zoho Books within minutes, with no retyping. Your team reviews and sends instead of building each estimate from a chat message, and customers get their quote sooner.
Measure it with your own numbers: time from quote request to estimate sent, and estimates accepted, for a month before and after.
Next: send invoice copies and balances in chat.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Zoho Books connection behind it. See what each channel does on the Zoho Books integration page.
Create your first estimate from chat
Paste the recipe, approve access to Zoho Books, and ask the chat for a quote on two of your products.
