Send WhatsApp Requests to Power Automate

By Alva Chew 4 min read Updated October 30, 2026

This recipe turns a quote or callback request in chat into an item in your Microsoft 365 records, through a Power Automate flow, and gives the customer a request number. Part of connecting Power Automate to WhatsApp and AI chat.

What happens today

Quote requests arrive on WhatsApp and Instagram, and whoever reads them forwards a screenshot to the sales mailbox. Someone types the details into the SharePoint list later. Requests get missed, and the customer has no reference to quote when they chase.

The flow that works

  1. The customer asks for a quote or a callback.
  2. AeroChat asks for the details your team needs, one question at a time.
  3. It sends them to your Power Automate flow.
  4. Your flow adds an item to your SharePoint list, posts it to your sales channel in Teams and returns the item ID.
  5. AeroChat gives the customer that ID as their request number.

The recipe

When a customer asks for a quote or asks us to call them back, follow these steps.

  1. Ask for their name, company, email, the product or service they need, the quantity and their delivery location (example fields).
  2. Send all of these with their phone number, the channel they used and a two-line summary of the conversation to our Power Automate flow.
  3. The flow replies with request_id (example field). Tell the customer their request number and that our sales team will reply within one working day (example).
  4. If the flow does not reply with a request number, tell them our team has their details and hand the conversation over.

Ask only for what is missing. Reply in the customer’s language.

Change the fields to match the columns in your SharePoint list or Dataverse table before you paste it.

What to connect

  • Power Automate. Create a cloud flow that starts with When an HTTP request is received, with a JSON schema for the fields above and who can trigger the flow set to Anyone. Add the SharePoint item and the Teams post, end with a Response action that returns request_id, save the flow, and paste the HTTP URL in when AeroChat asks.
  • Your knowledge base. Upload your product and service details to AeroChat so it can answer questions before it takes the request.

After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: paste in your flow’s HTTP URL, add your knowledge base if the recipe uses one, then switch it on. Make a test request and check the new item in SharePoint and the post in Teams.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide

  • Which details AeroChat asks for.
  • Where the flow records the request, and who it alerts.
  • Who gets the handover.

The result to expect

Every quote request from chat is in your SharePoint list with a number, and your sales team sees it in Teams straight away. The customer has a reference to quote when they follow up.

Measure it with your own numbers: quote requests recorded from chat, and time to first reply, for a month before and after.

Next: answer status questions from your flows.

Works on every chat channel

This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Power Automate flow behind it. See what each channel does on the Power Automate integration page.
