Answer WhatsApp Status Questions with Power Automate
This recipe answers order status questions in chat with a Power Automate flow that looks the order up in SharePoint, Excel or Dataverse. Part of connecting Power Automate to WhatsApp and AI chat.
What happens today
Your orders and their status live in a SharePoint list or a Dataverse table that your team updates through the day. When a customer asks on WhatsApp where their order is, someone opens the list, filters it and types a reply. Customers who ask after hours wait until morning.
The flow that works
- The customer asks about an order.
- AeroChat asks for the order number, if it does not have it.
- It sends the order number and phone number to your Power Automate flow.
- Your flow finds the order, checks the phone number and returns the status through a Response action.
- AeroChat replies with the status, or hands over if the flow found nothing.
The recipe
Copy this into AeroChat
When a customer asks about the status of their order, follow these steps.
- Ask for their order number, if they have not given it.
- Send order_number and phone to our Power Automate flow (example field names).
- The flow replies with found, status and delivery_date (example fields). If found is true, tell the customer the status and the delivery date.
- If the status is On hold (example value), tell them our team will contact them about it and hand the conversation over.
- If found is false, ask them to check the number once. If it still does not match, hand the conversation to our team with the number they gave.
Only share an order when the flow confirms it belongs to this phone number. Reply in the customer’s language.
Change the field names and status values to the ones your list or table uses before you paste it. Have the flow check the phone number against the order before it replies.
What to connect
- Power Automate. Create a cloud flow that starts with When an HTTP request is received, with who can trigger the flow set to Anyone. Add a step that gets the matching item from SharePoint, Excel or Dataverse, end with a Response action that returns found, status and delivery_date, save the flow, and paste the HTTP URL in when AeroChat asks.
- The list or table that holds your orders. Connect it inside Power Automate, as you do for any flow. AeroChat never needs your Microsoft sign-in.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: paste in your flow’s HTTP URL, then switch it on. Ask about a test order and check the reply in the chat and in the flow’s run history.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Which fields the flow returns and the customer sees.
- How the flow checks it is the right customer.
- When AeroChat hands over instead of answering.
The result to expect
Customers get their order status in the chat at any hour, from the same list your team keeps up to date. Your team handles the orders on hold instead of every status question.
Measure it with your own numbers: status questions answered without your team, and replies sent outside working hours, for a month before and after.
Next: send chat requests into Power Automate.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Power Automate flow behind it. See what each channel does on the Power Automate integration page.
