Take Appraisal Requests on WhatsApp with Rex
This recipe captures owners who ask about selling in chat and puts them in Rex as appraisal leads, with the property details already collected. Part of connecting Rex to WhatsApp and AI chat.
What happens today
An owner messages: “thinking of selling next year, what would mine get?”. It is the most valuable message the agency gets that week, and it sits in a group chat until someone with time replies. By then the owner has asked two other agents.
The flow that works
- The owner asks about selling or the value of their property.
- AeroChat asks a few questions: address, property type, bedrooms, and when they are thinking of selling.
- It finds or creates the owner as a contact in Rex.
- It creates an appraisal lead with the details, for the agent who covers that area.
- It tells the owner an agent will call to arrange a time, and hands over.
The recipe
Copy this into AeroChat
When an owner asks what their property is worth, or says they are thinking of selling or leasing, follow these steps.
- Thank them and ask, one at a time: the property address, the property type, the number of bedrooms and bathrooms, and when they are thinking of selling.
- Ask for their name, phone and email if you do not have them.
- Find the contact in Rex by phone or email, or create one.
- Create an appraisal lead in Rex for that contact with the address and their answers in the note. Assign it to the agent for that suburb from our area list (example).
- Tell them the agent will call within one working day (example) to arrange a time, and hand the conversation to that agent.
Never give a price, a range or a commission rate in the chat. Reply in the customer’s language.
Change the questions, area list and reply time to your own before you paste it.
What to connect
- Rex. Set up a dedicated user for AeroChat in Rex, with access to contacts and leads, and enter its login in the AeroChat dashboard when AeroChat asks. If API access is not switched on for your account, ask Rex support to enable it.
- Your area list. Upload a list of which agent covers which suburbs to the AeroChat knowledge base.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Rex, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Rex’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide
- Which agent gets which area.
- How quickly an agent calls back.
- Every price conversation.
The result to expect
Owners who ask about selling get a reply straight away and a call from the right agent, and every request is in Rex as an appraisal lead. Fewer listing opportunities go to whichever agent answered first.
Measure it with your own numbers: appraisal requests from chat, and appraisals booked, for a month before and after.
Next: turn listing enquiries into Rex leads. See also agent handover for property agents.
