Turn WhatsApp Listing Enquiries into Rex Leads
This recipe answers a buyer or tenant’s question about a listing in chat and records them in Rex as a lead on that listing. Part of connecting Rex to WhatsApp and AI chat.
What happens today
An enquiry arrives on WhatsApp on Sunday: “what’s the price guide for 12 Park Rd and when’s the open home?”. The agent answers from their phone between inspections, and the enquirer never makes it into Rex. When the vendor asks how many enquiries came in, the number is short.
The flow that works
- The enquirer asks about a listing.
- AeroChat finds the listing in Rex and answers from its details.
- It asks for their name and email.
- It finds or creates the contact in Rex and creates a lead on the listing.
- It hands over to the listing agent if the enquirer wants to talk or make an offer.
The recipe
Copy this into AeroChat
When someone asks about one of our listings, follow these steps.
- Find the listing in Rex by the address or link they send. If it is unclear, ask which property they mean.
- Answer from the listing details in Rex: price guide, bedrooms, bathrooms, parking, inspection times and whether it is still available. If it is sold or leased, say so and offer up to two similar current listings.
- Ask for their name and email so the agent can send the details.
- Find the contact in Rex by email or phone, or create one with their name, email and phone.
- Create a lead on the listing for that contact, with their question as the note and the source as chat (example).
- If they want to make an offer or talk to someone, hand the conversation to the listing agent.
Never comment on value or negotiate. Only give details that are on the listing. Reply in the customer’s language.
Change the source and handover rules to your own before you paste it.
What to connect
- Rex. Set up a dedicated user for AeroChat in Rex, with access to listings and contacts, and enter its login in the AeroChat dashboard when AeroChat asks. If API access is not switched on for your account, ask Rex support to enable it.
- Your listings in Rex. Keep price guides and inspection times current on each listing, because AeroChat answers from them.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Rex, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Rex’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Which listing details AeroChat may share.
- Who gets the lead when a listing has more than one agent.
- What counts as a handover.
The result to expect
Every chat enquiry is answered quickly and recorded in Rex on the right listing, so vendor reports show the real interest. Agents see the enquiry with the contact’s history instead of in a phone.
Measure it with your own numbers: enquiries recorded per listing, and time to first reply, for a month before and after.
Next: take appraisal requests. See also listing enquiries for property agents.
