Take Pre-Arrival Requests on WhatsApp with Oracle OPERA Cloud

By Alva Chew 4 min read Updated October 25, 2026

This recipe takes the messages guests send before they arrive and puts each one on their reservation in OPERA Cloud, where the front office already looks. Paid extras are sold in the chat by payment link. Part of the OPERA Cloud integration.

What happens today

A guest writes “honeymoon trip, any chance of a high floor? and we need a car from the airport”. The message sits on a shared phone. Someone may type it into OPERA Cloud later, or may not. The transfer is never sold, and the arrival shift does not know it is a special occasion.

The flow that works

  1. AeroChat finds the guest’s reservation in OPERA Cloud by name and arrival date, or the confirmation number.
  2. It works out the request: early check-in, late arrival, room preference, special occasion or a paid extra.
  3. For a paid extra, it quotes the price from your extras list and sends a payment link.
  4. It adds the request, and any payment, to the reservation as a comment.
  5. It tells the guest what happens next, for example that room preferences are noted but not guaranteed.

The recipe

Copy this into AeroChat

When a guest with a booking asks for something before arrival, follow these steps.

  1. Ask for the booking name and arrival date or the confirmation number, and find the reservation in OPERA Cloud. If you cannot find it, hand over to the front office.
  2. For early check-in or a room preference such as a high floor, tell them it is noted and depends on availability on the day.
  3. For an airport transfer, ask for the flight number and arrival time, quote the price from our extras list and send a payment link.
  4. For a late arrival, note the expected time and confirm the room will be held.
  5. For a special occasion, cot, extra bed or dietary request, note it and say the team will prepare it.
  6. Add every request to the reservation in OPERA Cloud as a comment, with the amount if one was paid.
  7. Confirm in the chat what was noted and what the guest should expect.

Only offer extras and prices from our extras list. Never promise an upgrade or a specific room. Reply in the guest’s language.

Change the extras, prices and wording to your own before you paste it.

What to connect

  • OPERA Cloud, through OHIP. Your OPERA administrator registers an application in the OHIP developer portal and subscribes it to the property APIs, then enters the application key, client ID, client secret, gateway URL and integration user in the AeroChat dashboard when it asks.
  • Your extras list and fact sheet. Upload transfer prices and check-in rules to the AeroChat knowledge base.
  • Payments. Airwallex is built in: AeroChat sends the payment link and confirms the payment, and never sees card numbers. HitPay and Stripe connect with your API key if you already use them. Payment links are included from the Growth plan.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.

What you still decide

  • Which extras you sell in chat, and their prices.
  • Whether requests go on the reservation as comments only, or also to a team inbox.
  • Which requests always go to a person, such as accessibility needs or VIP arrivals.

The result to expect

Every request lands on the reservation, so the arrival shift sees it, and paid extras get offered to every guest who asks. Measure it with your own numbers: extras sold through chat, and requests recorded on reservations, for a month before and after you start.

Next: booking changes with OPERA Cloud. See also the hotel recipe for pre-arrival requests.

Sell your first extra in chat

Paste the recipe, have your OPERA administrator add the OHIP values, and message your own number asking for an airport pickup.
