Change or Cancel Reservations on WhatsApp with Eat App
This recipe handles the messages that come after a booking: “can we make it 8.30 instead?”, “we are now 6 people”, “sorry, need to cancel”. AeroChat finds the reservation in Eat App and makes the change. Part of the Eat App integration.
What happens today
Changes arrive by message on the day, often during service. Nobody sees a cancellation until the table is already being held empty. A party that grew from four to six turns up to a table for four.
The flow that works
- The guest asks to change or cancel. AeroChat finds their reservation in Eat App by phone number.
- For a new time or party size, it checks availability and offers what is free.
- It updates the reservation, or cancels it, in Eat App.
- It confirms the change in the chat.
The recipe
Copy this into AeroChat
When a guest asks to change or cancel a reservation, find their upcoming reservation in Eat App by phone number. If there is more than one, ask which date. To change the time or party size, check availability in Eat App for the new details. If it is free, update the reservation. If not, offer the two nearest free times, and keep the original booking unless they choose a new one. To cancel, confirm the date and time with them, then cancel the reservation in Eat App. Thank them for letting us know. If a change would make the group larger than 10 (example), hand the conversation to our team. If the booking had a deposit, do not promise a refund. Tell them our team will reply about the deposit and hand over.

- Your cancellation and deposit policy. Upload it to the AeroChat knowledge base.
