Beauty Store Workflows to Automate, Ranked
These are the six conversations an online beauty or skincare store should automate first, ranked by how much time or revenue each one recovers. The ranking assumes a Shopify store selling at home and abroad, with discovery questions on Instagram and TikTok, repeat customers on WhatsApp, and a small team. Each one links to a recipe page with a description you can paste into AeroChat, what to connect and what you still decide.
For the message mix, the claims rules and plan sizing, see the beauty stores overview.
The ranking at a glance
| Rank | Workflow | What it recovers | Why it ranks here |
|---|---|---|---|
| 1 | Order tracking | Team time on the most repeated question | The highest-volume message after any launch or sale, and the answer is in Shopify |
| 2 | Product recommendations | Revenue from shoppers who ask “which one for me” | In beauty the recommendation is the sale |
| 3 | Ingredient and skin questions | Team time, and answers that stay inside the claims rules | Asked before almost every first purchase, and easy to get wrong in writing |
| 4 | Returns and exchanges | Team time, and customers kept after a wrong shade | Opened products and hygiene rules make the policy hard to explain by hand |
| 5 | Restock and subscription questions | Repeat orders | Skincare runs out on a cycle, and the reorder is the cheapest sale you make |
| 6 | Reaction handover | Low volume, high stakes | Every setup needs it before going live |
The six workflows
1. Answer “where is my order” from Shopify
AeroChat checks the customer’s email or phone number against the order, reads the status and tracking from Shopify, and replies with where the parcel is. Late, lost or damaged parcels go to your team.
2. Recommend products by skin type, concern and budget
“Which one for oily skin, below US$30?” AeroChat filters your catalogue by the tags you set, such as skin type, concern and texture, and recommends up to three products with a line on why each fits. It answers only from your product data, never from general claims.

3. Answer ingredient questions and hand skin conditions to a person
“Is this fragrance free?”, “does it have niacinamide?”, “halal certified?” are answered from the ingredient list and the statements you publish. Questions about a skin condition, pregnancy or a medical treatment get only the published facts, and then go to a person. In most markets, cosmetics rules do not allow a cosmetic to claim to treat or prevent a disease or medical condition.

4. Handle returns and exchanges within your policy
AeroChat checks the order against your return window and your rules for opened products, offers an exchange for a different shade where your policy allows it, opens the return request on the order in Shopify, and explains the next step. Damaged items, leaks and anything outside the policy go to your team.
5. Answer restock and subscription questions
“When is the sunscreen back?”, “can I skip next month?” AeroChat checks live stock, gives a restock date only if you have listed one, keeps a restock list in a Google Sheet, and answers subscription questions from your terms. Changes to a subscription go through the customer’s account page or your team.

6. Hand reactions to a person, every time
A customer writes that a product made their skin red and itchy. AeroChat never advises, never calls it purging and never admits or denies fault. It shares the product’s own directions on irritation, tells them to seek medical help if the reaction is severe, collects the details and a photo, tags the conversation and passes it to your team. It ranks last because the volume is low. Set it up before any other workflow goes live.
What they connect to
- Shopify, built in, for products, tags, ingredient lists, stock, orders, tracking, return requests and discount codes. Used by every workflow.
- Google Sheets for the restock list and the reaction log, used by workflows 5 and 6. Connect your Google account and approve the access.
- Your knowledge base for your sourcing and authenticity statement, certifications, return policy, subscription terms and shade guide.
- WhatsApp broadcasts, from the Growth plan, for restock and replenishment messages to customers who asked for them.
- AeroChat’s own handover, tags and team notifications for workflow 6 and every exception.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What stays with your team
- Any reaction, and any question about a skin condition, pregnancy, breastfeeding or medication.
- Damaged, leaking or wrong items, and lost parcels.
- Returns outside your policy, and every refund decision.
- Any discount above the limit you set.
- Complaints about authenticity.
Each recipe hands these over with the order details collected, so your team picks up the conversation without asking the customer to repeat themselves.
How they fit together
Order lookup is the base for tracking, returns and subscriptions. Recommendations and ingredient questions read the same product data, so tagging your catalogue by skin type, concern and key ingredients improves both. The reaction handover runs alongside everything. When a customer mentions a rash in the middle of an order question, the conversation goes to a person.
You can paste the recipes one at a time. When you paste the second, AeroChat sees what you already have and adds to it rather than building a duplicate.
Build your first one
Start with product recommendations and the reaction handover together. Install the app, paste both, ask what suits oily, acne-prone skin, then say a product gave you a rash and check it reaches you.
