Book Appointments from WhatsApp with Make
This recipe lets customers book an appointment in chat, with a Make scenario that checks your calendar or booking system and makes the booking. Part of connecting Make to WhatsApp and AI chat.
What happens today
A customer asks on WhatsApp for a slot on Saturday. Someone checks the calendar, offers two times, waits for a reply, finds one has gone, and offers another. Your Make scenarios already reach the calendar, but the back and forth still happens by hand.
The flow that works
- The customer asks for an appointment and says which day suits them.
- AeroChat sends the service and the day to your Make webhook.
- Your scenario checks the calendar and returns up to three free slots.
- The customer picks one, and AeroChat sends the booking details to a second webhook.
- Your scenario books it and returns a confirmation, which AeroChat passes on.
The recipe
Copy this into AeroChat
When a customer asks to book an appointment, follow these steps.
- Ask which service they want and which day suits them, if they have not said.
- Send service and preferred_date to our Make availability webhook (example names). The scenario replies with slots, a list of up to three start times.
- Offer the slots. If there are none, ask for another day and check again.
- When they pick a slot, ask for their name and phone number if we do not have them. Send service, start_time, name, phone and the channel they used to our Make booking webhook.
- The scenario replies with booking_reference (example field). Confirm the service, date, time and reference to the customer.
Never confirm a booking until the scenario returns a reference. If it does not, tell them our team will confirm and hand the conversation over. Reply in the customer’s language.
Use your own service names, and change the field names to the ones your scenarios use before you paste it.
What to connect
- Make. Build two scenarios, each starting with a Custom webhook trigger and ending with a Webhook response module. The first returns free slots from your calendar or booking system. The second creates the booking and returns its reference. Paste both webhook addresses in when AeroChat asks.
- Your calendar or booking system. Connect it inside Make, as you do for any scenario.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: paste in both Make webhook addresses, then switch it on. Book a test appointment and check it in your calendar.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide
- How many slots AeroChat offers, and how far ahead.
- Which details it collects before booking.
- When it hands over instead of booking.
The result to expect
Customers book in one conversation, at any hour, with slots taken straight from your calendar. Your team stops trading times back and forth in chat.
Measure it with your own numbers: bookings made in chat, and bookings made outside working hours, for a month before and after.
Next: send chat leads into your scenarios.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Make scenarios behind it. See what each channel does on the Make integration page.
