Book GoHighLevel Appointments from WhatsApp
This recipe lets clients book an appointment in the chat, straight into your GoHighLevel calendar. Part of connecting GoHighLevel to WhatsApp and AI chat.
What happens today
Clients message to ask for an appointment. Someone checks the calendar, offers a time, and waits for a reply. By the time the client answers, the slot may be gone, and some clients book elsewhere because nobody replied after hours.
The flow that works
- The client asks to book.
- AeroChat asks which service they want.
- It reads free slots from that service’s calendar in GoHighLevel.
- It offers three slots and books the one they pick.
- It confirms the appointment and adds a note to the contact.
The recipe
Copy this into AeroChat
When someone wants to book an appointment, follow these steps.
- Ask which service they want, and answer any questions about it from our knowledge base.
- Read the free slots for that service’s calendar in GoHighLevel for the next seven days.
- Offer three slots, spread across different days if possible. If they ask for a specific day, offer the free slots on that day.
- When they pick one, find their contact by the phone number they message from. If there is none, ask for their name and email and create the contact.
- Book the appointment in that calendar and slot, and add a note to the contact with anything they told us about their needs.
- Confirm the service, date, time and address (example: 12 Main Street, Level 2). If they need to change it later, they can message us here.
Only offer slots that GoHighLevel shows as free. Do not book two appointments for the same person at the same time. Reply in the customer’s language.
Change the services, booking window and address to your own before you paste it. Reminders come from your GoHighLevel calendar settings or workflows, as they do today.
What to connect
- GoHighLevel. An admin creates a Private Integration in the sub-account with access to contacts and calendars, including calendar events. Paste the token and location ID in when AeroChat asks.
- Your knowledge base. Upload your services, prices and policies to AeroChat so it can answer questions before it books.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect GoHighLevel, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from GoHighLevel’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Which calendars and services AeroChat can book.
- How far ahead clients can book.
- When a request goes to your team instead, such as a group booking.
The result to expect
Clients book themselves in the chat at any hour, into the same calendar your team already uses. Your GoHighLevel workflows and reminders pick up the appointment as usual.
Measure it with your own numbers: appointments booked from chat, and how many are booked outside working hours, for a month before and after.
Next: book GoHighLevel appointments from chat.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same GoHighLevel connection behind it. See what each channel does on the GoHighLevel integration page.
