Connect ClickUp to WhatsApp, Instagram, TikTok and AI Chat

By Alva Chew 6 min read Updated October 30, 2026

Customers and clients message you on WhatsApp, Instagram, Messenger, TikTok, Telegram, web chat or email with new requests and questions about work in progress, but your team tracks that work in ClickUp. AeroChat answers those conversations in both directions. It checks ClickUp when a customer asks how their job is going, and it turns what they ask for into a task on the right list, with the details your team needs. It connects through ClickUp’s public API. You describe the workflow in your own words, and AeroChat builds it.

What you can do with ClickUp and AeroChat

  • Turn chat requests into ClickUp tasks. AeroChat collects the details your team needs and creates a task on the right list with the customer’s contact and a summary.
  • Answer job status questions. AeroChat finds the customer’s task, reads its status and tells them what it means, in words you choose.
  • Add follow-up messages to the task. When a customer sends more details later, AeroChat adds them as a comment on the existing task, so nothing sits in a chat thread.
  • Sort requests by type. AeroChat puts quote requests, repairs and complaints (examples) on different lists or assigns them to the right person.
  • Hand over with context. When a request needs a person, AeroChat hands the conversation over with a link to the task.

Works on every chat channel

Your customers and clients message you wherever they already are. The same ClickUp connection and the same workflows run on every channel AeroChat supports, and ClickUp stays the record whichever one they use.

Channel What your customers and clients can do
WhatsApp Message your WhatsApp Business number to send a new request, add details to it or ask how their job is going. Voice notes are transcribed, so a spoken request works too.
Instagram Send the same requests by direct message. A comment on your post can get an automatic reply that moves the conversation to a DM.
Facebook Messenger Send the same requests to your Facebook Page. Comments on your Page posts can get an automatic reply too.
TikTok Send the same requests by TikTok direct message or TikTok Shop buyer chat. Both arrive in the same TikTok inbox.
Telegram Send the same requests to your business on Telegram.
Web chat Do the same from the chat on your website, without leaving the page.
Email Write to your Gmail or Office 365 address and get the same answer the chat gives.

How the connection works

AeroChat connects through ClickUp’s public API. It reads and writes tasks in your lists, sets statuses, assignees, due dates and custom fields, filters tasks by a custom field such as a phone number, and adds comments to tasks. Each workflow uses only what its recipe asks for.

To connect, open Settings from your avatar in ClickUp, choose Apps, and generate your personal API token. It starts with pk_. The token has the same access as the person who created it, so use an account that can see the lists the workflow uses. Paste it into the AeroChat dashboard when AeroChat asks.

You describe the workflow in your own words. AeroChat builds it as a draft, works out which ClickUp calls it needs, and asks you to connect. Keys and credentials are entered in the AeroChat dashboard and never pass through the conversation.

Workflows to copy

Copy this into AeroChat

When a customer asks for a repair, a quote or other work, ask for their name, address, what they need and a preferred date. Create a task on the Client Requests list (example) named with their name and the job, with their phone number in a Phone custom field and the details in the task’s custom fields and description. Tell them we have logged the request and our team will confirm the date.

Copy this into AeroChat

When a customer asks how their job is going, find the open task on the Client Requests list (example) with a Phone custom field that matches the customer’s number. Read its status and reply with the matching message: Scheduled means “your job is booked, our team will message you the day before”, In progress means “our team is working on it now”, Done means “your job is complete, reply here if anything is not right” (examples). If you cannot find the task, ask for their name and hand the conversation to our team.

Who uses it

ClickUp is used by agencies, service firms, production teams and operations teams that track client work as tasks. Any of them can use it to log client requests from chat and answer status questions without opening ClickUp.

What stays in ClickUp

ClickUp stays your record of the work. Spaces, lists, tasks, statuses, assignees and dashboards live there, and your team still plans, assigns and finishes the work.

AeroChat handles the conversation. It looks up what the customer asks about, creates and updates the records your recipe asks for, and leaves the rest to ClickUp and your team.
