Connect Calendly to WhatsApp, Instagram, TikTok and AI Chat
Leads and clients message you on WhatsApp, Instagram, Messenger, TikTok, Telegram, web chat or email to set up a call, but your meetings live in Calendly. AeroChat answers those conversations and works with Calendly as it goes: it checks your free times, books the meeting or sends the right booking link, and finds or cancels a meeting when someone asks. It connects through Calendly’s public API. You describe the workflow in your own words, and AeroChat builds it.
What you can do with Calendly and AeroChat
- Book Calendly meetings from chat. AeroChat checks the free times for the right meeting type and offers a few. On a paid Calendly plan it books the time the lead picks. On any plan it can send a one-time booking link for that meeting type instead.
- Check or cancel a meeting in chat. AeroChat finds the person’s upcoming meeting by their email, tells them the date and time, and cancels it when they ask, with their reason recorded in Calendly.
- Pick the right meeting type. AeroChat reads your Calendly event types, such as a 15-minute intro call or a 60-minute consultation (examples), and matches the request to one.
- Answer “when is my call?”. AeroChat looks up the booked meeting and replies with the date, time and meeting link from Calendly.
- Send the reschedule link. When someone needs a new time, AeroChat sends the reschedule link Calendly created for their booking.
Works on every chat channel
Your leads and clients message you wherever they already are. The same Calendly connection and the same workflows run on every channel AeroChat supports, and Calendly stays the record whichever one they use.
| Channel | What your leads and clients can do |
|---|---|
| Message your WhatsApp Business number to find a free time, book a meeting, or check or cancel the one they have. Voice notes are transcribed, so a spoken request works too. | |
| Send the same requests by direct message. A comment on your post can get an automatic reply that moves the conversation to a DM. | |
| Facebook Messenger | Send the same requests to your Facebook Page. Comments on your Page posts can get an automatic reply too. |
| TikTok | Send the same requests by TikTok direct message or TikTok Shop buyer chat. Both arrive in the same TikTok inbox. |
| Telegram | Send the same requests to your business on Telegram. |
| Web chat | Do the same from the chat on your website, without leaving the page. |
| Write to your Gmail or Office 365 address and get the same answer the chat gives. |
How the connection works
AeroChat connects through Calendly’s public API. It reads your event types, the free times for each one, your scheduled meetings and the people booked into them. It creates one-time scheduling links, cancels meetings and, on paid Calendly plans, books meetings directly through Calendly’s Scheduling API. On the free plan, AeroChat sends a one-time booking link and the person picks the time on Calendly’s page. Each workflow uses only what its recipe asks for.
To connect, create a personal access token in Calendly’s developer settings, choose the scopes the workflow needs, and copy the token. If you are an admin of a Calendly organization, the token covers your team’s calendars too. Paste the token into the AeroChat dashboard when AeroChat asks.
You describe the workflow in your own words. AeroChat builds it as a draft, works out which Calendly calls it needs, and asks you to connect. Keys and credentials are entered in the AeroChat dashboard and never pass through the conversation.
Workflows to copy
Copy this into AeroChat
When someone asks to set up a call, find out what they want to talk about and match it to one of our Calendly event types. Check Calendly for free times for that event type in the next 7 days (example) and offer the three closest to what they asked for, in their time zone. When they pick one, ask for their name and email and book that time in Calendly. Confirm the date, time and meeting link. If the booking fails, create a one-time scheduling link for that event type and send it instead.
Copy this into AeroChat
When someone asks when their call is, ask for the email they booked with. Find their upcoming meeting in Calendly and reply with the date, time, time zone and meeting link. If they want a different time, send them the reschedule link from their booking. Never share another person’s meeting details.
Who uses it
Any business that books calls or consultations through Calendly can use it. Consultants, agencies, coaches, recruiters and B2B sales teams use it to turn a chat enquiry into a booked meeting without sending people back and forth.
What stays in Calendly
Calendly stays your record. Event types, availability rules, connected calendars, meeting locations, routing and reminders live there, and your team still runs the meetings.
AeroChat handles the conversation. It checks times, books, sends links and cancels as your recipe asks and leaves the rest to Calendly and your team.

Questions
Does AeroChat work with Calendly?
Yes. AeroChat connects through Calendly’s public API with a personal access token you create in Calendly.
Can people book a Calendly meeting on WhatsApp?
Yes. On a paid Calendly plan, AeroChat books the time they pick in the chat. On the free plan, AeroChat checks the free times and sends a one-time booking link for the right meeting type.
Do I need a developer?
No. You describe the workflow in your own words, create a personal access token in Calendly and paste it in, and switch it on. AeroChat builds the Calendly connection from your description and shows a checklist of what is left to do.
Which plan do I need?
Workflows via Skills are on every plan, Free included. Choose by message volume: Starter covers 500 AI responses a month and 3 seats, Growth covers 2,000 responses and 10 seats and adds payment links and broadcasts, and Advanced covers 5,000 responses and 25 seats.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
