Answer Tenant Balance Questions on WhatsApp with Buildium
This recipe answers “how much do I owe?” and other lease questions in chat. It finds the tenant’s lease in Buildium and replies with the outstanding balance, the due date and the lease dates. Part of connecting Buildium to WhatsApp and AI chat.
What happens today
Tenants message the property manager to ask what they owe, whether last month’s payment arrived, or when their lease ends. Each answer means opening Buildium, finding the lease and reading the ledger. The questions come in at the start of every month, all at once.
The flow that works
- AeroChat matches the tenant to their lease in Buildium by phone or email.
- It looks up the outstanding balance on the lease.
- It replies with the amount, what it is for and the due date.
- It answers lease questions such as the end date and the rent.
- It hands disputes and payment problems to your team.
The recipe

When a tenant asks what they owe or asks about their lease, follow these steps.
- Find their tenant record in Buildium by phone number or email. If there is no match, ask for their unit address and the name on the lease. Only continue if both match.
- Look up the outstanding balance on their lease in Buildium.
- Reply with the amount due, what it is for and the due date. If the balance is zero, tell them they are up to date.
- If they ask about the lease, reply with the start and end dates and the monthly rent.
- Tell them how to pay from the knowledge base, such as the tenant portal (example).
- If they say they have already paid or disagree with a charge, tell them our accounts team will check and hand the conversation over.
Never share a balance or lease with someone who does not match the tenant record. Never agree to waive a fee yourself. Reply in the customer’s language.
Change the payment instructions to your own before you paste it.
What to connect
- Buildium. An administrator switches on the Open API in your Buildium settings, creates an API key with read access to leases, tenants and balances, and copies its client ID and secret. Paste them in when AeroChat asks.
- Your knowledge base. Upload your payment methods, late fee policy and lease FAQs to AeroChat.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Buildium, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Buildium’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide
- How a tenant proves the lease is theirs.
- Whether AeroChat shares the balance breakdown or only the total.
- Who handles payment disputes.
The result to expect
Tenants get their balance and lease details straight away, at any hour, and your team only handles the disputes and payment problems.
Measure it with your own numbers: balance and lease questions your team answers each month, and late payments, for a month before and after.
Next: turn repair messages into maintenance requests.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Buildium connection behind it. See what each channel does on the Buildium integration page.
