Answer Deal Status Questions on WhatsApp from Bitrix24
This recipe answers “where is my quote or order?” in chat by reading the deal in Bitrix24, and logs the question on the contact so your team can see it. Part of connecting Bitrix24 to WhatsApp and AI chat.
What happens today
A customer messages to ask whether their quote or order has moved. The person who sees the message has to open Bitrix24, find the contact, read the deal and translate the stage name into something the customer understands. When that person is busy, the customer waits, and often asks again on another channel.
The flow that works
- AeroChat finds the customer’s contact in Bitrix24 by their phone number or email.
- It looks up their open deal and reads its stage.
- It replies with the message you wrote for that stage, not the internal stage name.
- It adds a timeline comment to the contact that the customer asked, and what they were told.
- If something needs a person, it hands the conversation over with the details.
The recipe
Copy this into AeroChat
When a customer asks about the status of their quote or order, follow these steps.
- Find their contact in Bitrix24 by the phone number they are messaging from. If there is no match, ask for the email they used and search again.
- Look up the open deal linked to that contact. If there is more than one, ask which one they mean, using the deal names.
- Read the deal’s stage and reply with the matching message: Proposal sent means “your quote is with you, reply here with any questions”, In progress means “we are working on it and will update you by Friday” (examples).
- Add a timeline comment to the contact: “Asked for status on chat, told: ” followed by your reply.
- If the deal is marked lost, or the customer is unhappy with the answer, hand the conversation to the deal owner in Bitrix24.
Never show internal stage names, amounts or notes. Only use the messages above. Reply in the customer’s language.
Replace the stage names and messages with your own Bitrix24 pipeline before you paste it.
What to connect
- Bitrix24. An administrator creates an inbound webhook with the CRM permission so AeroChat can read deals and add timeline comments. Paste its URL in when AeroChat asks.
- Your status messages. Write one customer-facing line for each stage in your pipeline. They go into the recipe.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Bitrix24, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Bitrix24’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide
- What the customer is told at each stage.
- How the customer is identified: phone number only, or phone and email.
- When AeroChat hands over to the deal owner.
The result to expect
Customers get an answer about their quote or order straight away, on the channel they used. Your team stops retyping stages into chat replies, and every status question is logged on the contact in Bitrix24.
Measure it with your own numbers: status questions answered without a handover, and the time your team spends on them, for a month before and after.
Next: send chat leads to Bitrix24.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Bitrix24 connection behind it. See what each channel does on the Bitrix24 integration page.
