Connect Airtable to WhatsApp, Instagram, TikTok and AI Chat

By Alva Chew 6 min read Updated October 30, 2026

Customers message you on WhatsApp, Instagram, Messenger, TikTok, Telegram, web chat or email, but your leads, orders and bookings live in an Airtable base. AeroChat answers those conversations and works with your base as it goes. It looks up a record when a customer asks about their order, and it creates or updates records with what the customer tells it. It connects through Airtable’s public API. You describe the workflow in your own words, and AeroChat builds it.

What you can do with Airtable and AeroChat

  • Send chat leads to Airtable. When someone leaves their details in chat, AeroChat creates or updates their record with a summary of what they asked about.
  • Answer order questions from Airtable. AeroChat finds the customer’s order and replies with its status and date, and records any change they ask for.
  • Take orders and bookings into a table. AeroChat collects the items, quantities, date or address and creates the record.
  • Recognise returning customers. AeroChat finds the customer’s record by phone or email and uses what is there, such as their last order.
  • Answer from your product or price table. AeroChat reads the current price or stock figure from your base when a customer asks.

Works on every chat channel

Your customers message you wherever they already are. The same Airtable connection and the same workflows run on every channel AeroChat supports, and Airtable stays the record whichever one they use.

Channel What your customers can do
WhatsApp Message your WhatsApp Business number to leave their details, place an order or ask where it stands. Voice notes are transcribed, so a spoken request works too.
Instagram Send the same requests by direct message. A comment on your post can get an automatic reply that moves the conversation to a DM.
Facebook Messenger Send the same requests to your Facebook Page. Comments on your Page posts can get an automatic reply too.
TikTok Send the same requests by TikTok direct message or TikTok Shop buyer chat. Both arrive in the same TikTok inbox.
Telegram Send the same requests to your business on Telegram.
Web chat Do the same from the chat on your website, without leaving the page.
Email Write to your Gmail or Office 365 address and get the same answer the chat gives.

How the connection works

AeroChat connects through Airtable’s public Web API. It lists and searches records in your tables, creates them and updates them. Each workflow uses only the bases you give it and only what its recipe asks for.

To connect, create a personal access token in Airtable’s builder hub. Give it the scopes the workflow needs (for example, read and write records, and read the base schema) and add only the bases AeroChat should use. Copy the token, which Airtable shows once, and paste it into the AeroChat dashboard when AeroChat asks.

You describe the workflow in your own words. AeroChat builds it as a draft, works out which Airtable calls it needs, and asks you to connect. Keys and credentials are entered in the AeroChat dashboard and never pass through the conversation.

Workflows to copy

Copy this into AeroChat

When someone gives their name and email or phone number in chat, search our Leads table in Airtable (example) for that email or phone. If there is a record, update it. If not, create one with their name, email, phone, the channel they used and Status set to New (example value). Add a two-line summary of what they asked about to the Notes field.

When a customer asks about their order, ask for the order number. Find it in our Orders table (example) and check that the phone number or email matches. Tell them the Status and the Delivery date. If they want to change the delivery address, update the Address field and tell them it has been changed.

Who uses it

Businesses that run orders, bookings, inventory or leads in an Airtable base can use it. That includes small product brands, caterers and event companies, rental businesses and agencies. If your team works from an Airtable base, your customers can reach it through chat.

What stays in Airtable

Airtable stays your record. Your bases, tables, views, automations and interfaces stay there, and your team still works from them.

AeroChat handles the conversation. It reads, creates and updates the records your recipe asks for and leaves the rest to Airtable and your team.

Can WhatsApp leads go straight into Airtable?

Yes. When a lead gives their details in chat, AeroChat creates or updates their record in the table you choose, with a summary of the conversation.

Do I need a developer?
