Answer Dental Treatment Price Questions on WhatsApp
This recipe answers price questions from your own price list. Fixed fees are quoted outright. Treatments whose price depends on an examination are given as a range, with what the range depends on, and the patient is offered a consultation. Part of the dental clinic workflows.
What happens today
A patient messages three clinics: “how much scaling and polishing”. One replies “please call us for pricing”. One replies the next day. One replies in two minutes with a range and a Saturday slot. The patient books with the third.
It is tempting to avoid quoting in writing, because the final price depends on what the dentist finds. A range with a reason solves that. The patient gets a fair idea of cost and knows the dentist confirms it at the visit.
The flow that works
- The patient asks about a treatment. AeroChat finds it in your price list. If the name is unclear, for example “a clean” or “teeth cleaning”, it matches it to the right treatment.
- For a fixed fee, such as a consultation or a standard check-up, it gives the price.
- For a variable treatment, such as scaling, fillings, root canal, crowns, braces or implants, it gives the range and what changes it.
- It says the dentist confirms the price at the visit, and offers to book.
- For treatments that always need an assessment first, such as implants or braces, it offers a consultation slot instead of quoting a full range.

When a patient asks how much a treatment costs, follow these steps.
- Find the treatment in our price list. Patients may use informal names, for example “a clean” or “teeth cleaning” for scaling and polishing, or “pull tooth” for extraction. If you cannot tell which treatment they mean, ask one short question.
- If the treatment has a fixed price in our price list, give the price.
- If the treatment is marked as variable, give the range and what it depends on, and say the dentist confirms the price at the visit after an examination. For example: “Scaling and polishing is US$80 to US$150 (example range), depending on how much build-up there is. The dentist confirms the price at your visit.”
- If the treatment is marked as consultation first, such as braces, implants or veneers, give the consultation fee and say the dentist will give a full quote after assessing their teeth. Do not quote a full treatment price.
- Say whether the price includes sales tax, as stated in our price list.
- Offer to book. If they say yes, start the booking.
Never quote a single fixed price for a variable treatment. Never give a discount or a price that is not in our price list. If they ask whether their insurance or a government health scheme covers it, follow our coverage instructions. If they describe a symptom, stop and hand the conversation to a person. Reply in the patient’s language.
Replace the example range with your own and mark each treatment in your price list as fixed, variable or consultation first before you paste it.
What to connect
- Your price list. Upload it to the AeroChat knowledge base with three labels: fixed price, variable with a range, and consultation first. Add what each range depends on in one line.
- Common names. Add the informal names patients use for each treatment, in each language your patients write in.
- Booking. If the appointment booking workflow is set up, a price question that ends in “ok, can I book?” moves straight into it.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Which treatments you are willing to quote in writing, and which need a consultation first.
- The range for each variable treatment.
- Whether you mention promotions or packages, for example a first-visit check-up price.
- Whether prices are shown with or without sales tax.
AeroChat quotes only what is in the price list you upload. If a price is not there, the patient is told a team member will reply.
The result to expect
Price enquiries get an answer while the patient is still comparing clinics, and many of them turn into a booking in the same conversation. The front desk stops typing the same scaling price several times a day. Patients arrive with a realistic idea of cost, which makes the conversation in the chair easier.
Measure it with your own numbers: price enquiries that end in a booking, for a month before and after you start.
Next: insurance and health scheme questions.
Check it against your own price list
Upload your price list, paste the recipe, and ask it the five price questions your front desk hears most. Adjust the ranges where the answer is not how you would say it.
