Answer Opportunity Status Questions from SugarCRM on WhatsApp
This recipe lets prospects and customers ask where their proposal or deal stands and get the answer from SugarCRM in the same chat. Part of connecting SugarCRM to WhatsApp and AI chat.
What happens today
A buyer messages to ask whether the quote is ready, or what happens next. The rep is on calls, so the message waits. The buyer takes the first supplier who replied, and the opportunity slips for a reason that had nothing to do with price.
The flow that works
- The customer asks about their proposal or deal.
- AeroChat finds their contact in Sugar.
- It reads the open opportunity’s sales stage, assigned user and expected close date.
- It tells them where things stand in plain words.
- If they want to talk, it creates a task for the assigned user.
The recipe
Copy this into AeroChat
When someone asks about a proposal, a quote or a deal we are working on, follow these steps.
- Find their contact in SugarCRM by the phone number they message from. If there is none, ask for their work email and search by that.
- Find the open opportunities linked to the contact or to their account. If there is more than one, list them by name and ask which one they mean.
- Tell them the sales stage in plain words. For example, Needs Analysis means we are working out the right option for them, and Proposal/Price Quote means the quote is with them for review (example stages).
- Tell them the name of the assigned user and the expected close date if one is set.
- If they want to talk, create a task for the assigned user, due today (example), with what they want to discuss. Tell them that person will call or message them.
- If they raise a concern about price or terms, hand the conversation to the assigned user.
Only share these details if the phone number they message from, or the email they give, matches the record. If it does not match, ask for the email on their account and check again. If it still does not match, hand the conversation to our team. Do not share the opportunity amount or probability. Reply in the customer’s language.
Change the stage descriptions to match the sales stages in your Sugar instance before you paste it.
What to connect
- SugarCRM. An administrator creates a user for AeroChat that can read contacts, accounts and opportunities and create tasks, and adds an API platform for AeroChat. Enter your Sugar address, the platform name and the user’s login when AeroChat asks.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect SugarCRM, then switch it on. If it built the connection from SugarCRM’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide
- Which sales stages AeroChat explains, and in what words.
- Whether it shares the assigned user’s name and close date.
- Which questions go straight to the rep.
The result to expect
Buyers get an answer while they are still deciding, and reps get a task in Sugar when someone wants to talk. Fewer opportunities go quiet while a message waits.
Measure it with your own numbers: status questions answered without a handover, and time to first reply, for a month before and after.
Next: send chat leads to SugarCRM.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same SugarCRM connection behind it. See what each channel does on the SugarCRM integration page.
