Answer Opportunity Status Questions from Dynamics 365 on WhatsApp
This recipe lets prospects and customers ask where their proposal or deal stands and get the answer from Dynamics 365 Sales in the same chat. Part of connecting Dynamics 365 Sales to WhatsApp and AI chat.
What happens today
A buyer messages to ask whether the proposal is ready, or what happens next. The account manager is in meetings, so the message waits. The buyer moves on to the next supplier who replied, and the opportunity slips for a reason that had nothing to do with price.
The flow that works
- The customer asks about their proposal or deal.
- AeroChat finds their contact in Dynamics 365.
- It reads the open opportunity’s stage, owner and estimated close date.
- It tells them where things stand in plain words.
- If they want to talk, it creates a task for the owner.
The recipe
Copy this into AeroChat
When someone asks about a proposal, a quote or a deal we are working on, follow these steps.
- Find their contact in Dynamics 365 by the phone number they message from. If there is none, ask for their work email and search by that.
- Find the open opportunities where they are the contact, or that belong to their account. If there is more than one, list them by topic and ask which one they mean.
- Tell them the stage in plain words. For example, Develop means we are preparing their proposal, and Propose means it is with them for review (example stages).
- Tell them the name of the owner and the estimated close date if one is set.
- If they want to talk, create a task for the opportunity owner, due today (example), with what they want to discuss. Tell them the owner will call or message them.
- If they raise a concern about price or terms, hand the conversation to the opportunity owner.
Only share these details if the phone number they message from, or the email they give, matches the record. If it does not match, ask for the email on their account and check again. If it still does not match, hand the conversation to our team. Do not share estimated revenue or probability. Reply in the customer’s language.
Change the stage descriptions to match the business process stages in your Dynamics 365 environment before you paste it.
What to connect
- Dynamics 365 Sales. An administrator registers an app for AeroChat in Microsoft Entra ID and adds it as an application user with a security role that can read contacts, accounts and opportunities and create tasks. Paste the environment URL, tenant ID, client ID and secret in when AeroChat asks.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Dynamics 365 Sales, then switch it on. If it built the connection from Microsoft’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide
- Which stages AeroChat explains, and in what words.
- Whether it shares the owner’s name and close date.
- Which questions go straight to the owner.
The result to expect
Buyers get an answer while they are still deciding, and owners get a task in Dynamics 365 when someone wants to talk. Fewer opportunities go quiet while a message waits.
Measure it with your own numbers: status questions answered without a handover, and time to first reply, for a month before and after.
Next: send chat leads to Dynamics 365 Sales.
