Log WhatsApp Requests in a Notion Database

By Alva Chew 4 min read Updated October 30, 2026

This recipe makes sure every request a client makes in chat ends up in your Notion database, with their details and a clear summary of what they need. Part of connecting Notion to WhatsApp and AI chat.

What happens today

Clients send requests on WhatsApp and Instagram in pieces: a photo, a voice note, a date three messages later. Someone means to add them to the Notion board at the end of the day. Some get added with half the details, and some never make it onto the board.

The flow that works

  1. AeroChat answers the client’s questions first.
  2. It asks for the details your team needs, one question at a time.
  3. It checks your Clients database for the client by email or phone.
  4. It adds an entry to your Requests database with the details, a summary and the status New.
  5. It tells the client what happens next.

The recipe

Copy this into AeroChat

When a client asks for a quote, a booking or a new job, answer their questions first from our knowledge base. Then follow these steps.

  1. Ask for anything we do not have yet: their name, email, what they need, their budget and the date they need it by (example fields).
  2. Search our Clients database in Notion (example) for their email, then their phone number. Note the client’s name and account owner if there is a match.
  3. Add an entry to our Requests database with Name, Email, Phone, Channel, Need, Budget, Due date and Status set to New (example property names and value). Link it to the client entry if there is one.
  4. Add a comment to the new entry with a three-line summary of the conversation.
  5. Tell the client we have their request and our team will reply within one working day (example).

Ask only for what is missing. Reply in the customer’s language.

Change the database names, property names and status value to the ones your workspace uses before you paste it.

What to connect

  • Notion. A workspace owner creates an internal connection in Notion’s developer portal and copies its token. Share the Clients and Requests databases with it through Add connections, then paste the token in when AeroChat asks.
  • Your knowledge base. Upload your service details to AeroChat so it can answer questions before it takes the request.

After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Notion, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Notion’s public documentation, the checklist asks you to check it once against the current docs.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide

  • Which properties AeroChat fills, and the values it uses.
  • What it asks before it creates the entry.
  • Who gets the handover.

The result to expect

Every chat request is on your Notion board with the details your team needs, without anyone typing it. Nothing waits in someone’s phone.

Measure it with your own numbers: requests logged from chat, and time from first message to a reply with a quote, for a month before and after.

Next: answer status questions from Notion.

Works on every chat channel

This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Notion connection behind it. See what each channel does on the Notion integration page.
