Answer WhatsApp Status Questions from Notion
This recipe answers “how is my job going” in chat from your Notion database, and records any change the client asks for on the same entry. Part of connecting Notion to WhatsApp and AI chat.
What happens today
Your team moves each job through its stages on a Notion board. Clients cannot see the board, so they ask on WhatsApp. Someone stops what they are doing, finds the entry, reads the status and types a reply. When a client asks to move a date, the change lives in the chat until someone copies it across.
The flow that works
- The client asks how their job is going.
- AeroChat finds their entry in your Requests database by phone or email.
- It replies with the status and due date.
- If the client asks for a change, AeroChat updates the entry and adds a comment with what they said.
- If something needs a decision, it hands the conversation to the person responsible.
The recipe
Copy this into AeroChat
When a client asks about the status of their job, follow these steps.
- Search our Requests database in Notion (example) for entries with their phone number, then their email. If there is more than one open entry, ask which job they mean.
- Tell them the Status and the Due date on the entry, for example “In review, due on 20 November” (example).
- If they want to change the due date, ask for the new date, update Due date on the entry and add a comment with their exact request.
- If they want to change what we are delivering, add a comment with the details, set Status to Change requested (example value) and tell them the owner of the entry will confirm.
- If there is no matching entry, ask for the name the job is under and search again, then hand over to our team if there is still no match.
Only share an entry with the client whose phone or email is on it. Reply in the customer’s language.
Change the database, property and status names to the ones your board uses before you paste it.
What to connect
- Notion. A workspace owner creates an internal connection in Notion’s developer portal and copies its token. Share the Requests database with it through Add connections, then paste the token in when AeroChat asks.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Notion, then switch it on. If it built the connection from Notion’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide
- Which properties the client may see.
- Which changes AeroChat records itself, and which go to a person.
- Who gets the handover.
The result to expect
Clients get their status in seconds at any hour, and every change they ask for is on the entry where your team works. Fewer status messages interrupt the work.
Measure it with your own numbers: status questions answered without your team, and change requests recorded on the board, for a month before and after.
Next: log chat requests in a Notion database.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Notion connection behind it. See what each channel does on the Notion integration page.
