Connect Notion to WhatsApp, Instagram, TikTok and AI Chat

By Alva Chew 6 min read Updated October 30, 2026

Clients and customers message you on WhatsApp, Instagram, Messenger, TikTok, Telegram, web chat or email, but your requests, projects and bookings are tracked in Notion. AeroChat answers those conversations and works with your Notion databases as it goes. It looks up an entry when a client asks where things stand, and it adds or updates entries with what the client tells it. It connects through Notion’s public API. You describe the workflow in your own words, and AeroChat builds it.

What you can do with Notion and AeroChat

  • Log chat requests in a Notion database. When a client asks for a quote, a booking or a job, AeroChat adds an entry with their details and a summary of what they need.
  • Answer status questions from Notion. AeroChat finds the client’s entry and replies with its status and due date, and records any change they ask for.
  • Update an entry when a client changes their request. AeroChat changes the date or detail on the entry and adds a comment with what the client said.
  • Recognise returning clients. AeroChat looks up the client in your Clients database by email or phone and uses what is there, such as their account owner.
  • Leave notes for your team. AeroChat adds a comment to the entry with the conversation summary, so the person working on it sees it in Notion.

Works on every chat channel

Your clients and customers message you wherever they already are. The same Notion connection and the same workflows run on every channel AeroChat supports, and Notion stays the record whichever one they use.

Channel What your clients and customers can do
WhatsApp Message your WhatsApp Business number to make a request, ask where their job stands or change a date. Voice notes are transcribed, so a spoken request works too.
Instagram Send the same requests by direct message. A comment on your post can get an automatic reply that moves the conversation to a DM.
Facebook Messenger Send the same requests to your Facebook Page. Comments on your Page posts can get an automatic reply too.
TikTok Send the same requests by TikTok direct message or TikTok Shop buyer chat. Both arrive in the same TikTok inbox.
Telegram Send the same requests to your business on Telegram.
Web chat Do the same from the chat on your website, without leaving the page.
Email Write to your Gmail or Office 365 address and get the same answer the chat gives.

How the connection works

AeroChat connects through Notion’s public API. It queries your databases, reads entries, creates and updates them, and adds comments. Each workflow uses only the databases you share with it and only what its recipe asks for.

To connect, a workspace owner creates an internal connection in Notion’s developer portal and copies its API token, as Notion describes in its authorization guide. Then open each database AeroChat should use, choose Add connections from the page menu, and pick the connection. Paste the token into the AeroChat dashboard when AeroChat asks.

You describe the workflow in your own words. AeroChat builds it as a draft, works out which Notion calls it needs, and asks you to connect. Keys and credentials are entered in the AeroChat dashboard and never pass through the conversation.

Workflows to copy

Copy this into AeroChat

When a client asks for a quote or a new job, ask for their name, email, what they need and the date they need it by. Add an entry to our Requests database in Notion (example) with those details, their phone number, the channel they used and Status set to New (example value). Tell them our team will reply within one working day (example).

Copy this into AeroChat

When a client asks how their job is going, find their entry in our Requests database by phone number or email. Tell them the Status and the Due date. If they want to change the date, update Due date and add a comment to the entry with what they asked for.

Who uses it

Small service businesses, studios and agencies often run their requests, projects and bookings in Notion databases. That includes design and marketing agencies, photographers, event planners, consultants and coaches. If your team works from a Notion board, your clients can reach it through chat.

What stays in Notion

Notion stays your record. Your databases, views, properties and the pages your team works in stay there, and your team still moves the work forward.

AeroChat handles the conversation. It reads, creates and updates the entries your recipe asks for and leaves the rest to Notion and your team.

Questions

Does AeroChat work with Notion?

Yes. AeroChat connects through Notion’s public API with an internal connection token you create in Notion.

Can WhatsApp requests go straight into Notion?

Yes. When a client makes a request in chat, AeroChat adds an entry to the Notion database you choose, with their details and a summary of what they need.

Do I need a developer?

No. You describe the workflow in your own words, create an internal connection in Notion, share your database with it and paste in its token, and switch it on. AeroChat shows a checklist of what is left to do.
