Answer Deal Status Questions from Zoho CRM on WhatsApp

By Alva Chew 4 min read Updated October 30, 2026

This recipe lets customers ask where their deal stands and get the answer from Zoho CRM in the same chat. Part of connecting Zoho CRM to WhatsApp and AI chat.

What happens today

Customers message to ask whether their proposal is ready, whether the contract has been sent, or when work will start. The reply depends on someone opening Zoho CRM and finding the deal, which waits until the owner is free. The answer was in the CRM the whole time.

The flow that works

  1. The customer asks about their deal in chat.
  2. AeroChat finds their contact in Zoho CRM by phone number or email.
  3. It finds their open deal and reads the stage and owner.
  4. It tells them where things stand in plain words.
  5. If they need a person, it creates a task for the deal owner and tells them when to expect a reply.

The recipe

Copy this into AeroChat

When a customer asks about a proposal, a contract or work we are arranging for them, follow these steps.

  1. Find their contact in Zoho CRM by the phone number they message from. If there is none, ask for their email and search by that.
  2. Find the open deals linked to the contact. If there is more than one, list them by name and ask which one they mean.
  3. Tell them the stage in plain words. For example, Proposal/Price Quote means the proposal is with them, and Negotiation/Review means we are going through their feedback (example stages).
  4. Tell them the name of the deal owner and the expected closing date if one is set.
  5. If they want a call back or a change, create a task for the deal owner with what they asked for, due the next working day (example). Tell them the owner will be in touch.
  6. If they are unhappy or the deal is overdue, hand the conversation to the deal owner.

Only share these details if the phone number they message from, or the email they give, matches the record. If it does not match, ask for the email on their account and check again. If it still does not match, hand the conversation to our team. Do not share amounts unless they are on a proposal already sent to them. Reply in the customer’s language.

Change the stage descriptions to match the stages in your Zoho CRM before you paste it.

What to connect

  • Zoho CRM. An admin registers a Self Client in the Zoho API Console and generates a code with read access to contacts and deals and write access to tasks. Paste the client ID, secret and code in when AeroChat asks.

After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Zoho CRM, then switch it on. If it built the connection from Zoho CRM’s public documentation, the checklist asks you to check it once against the current docs.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.

What you still decide

  • Which stages AeroChat explains, and in what words.
  • Whether it shares the closing date and the owner’s name.
  • When a request goes to a person instead of a task.

The result to expect

Customers get the status of their deal in the chat, and your owners only hear about it when there is something to do. Follow-ups are logged in Zoho CRM where your team already looks.

Measure it with your own numbers: status questions answered without a handover, and tasks created from chat, for a month before and after.

Next: answer deal status questions in chat.

Works on every chat channel

This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Zoho CRM connection behind it. See what each channel does on the Zoho CRM integration page.

Let customers check their deal in chat
