Answer Quote Status Questions from Salesforce on WhatsApp
This recipe lets customers ask where their quote or deal stands and get the answer from Salesforce in the same chat. Part of connecting Salesforce to WhatsApp and AI chat.
What happens today
A buyer messages to ask whether their quote is ready or approved. The person who sees the message has to find the account, open the opportunity and check with the owner, who may be in a meeting. The buyer waits hours for an answer that is already in Salesforce.
The flow that works
- The customer asks about their quote or order in chat.
- AeroChat finds their contact in Salesforce by phone number or email.
- It finds the open opportunity on their account.
- It tells them the stage and their account manager’s name.
- If they want a change, it logs a task for the opportunity owner and tells the customer when to expect a reply.
The recipe
Copy this into AeroChat
When a customer asks about a quote, a proposal or an order we are discussing, follow these steps.
- Find their contact in Salesforce by the phone number they message from. If there is none, ask for the email on their account and search by that.
- Find the open opportunities on the contact’s account. If there is more than one, list them by name and ask which one they mean.
- Tell them the stage in plain words. For example, Proposal/Price Quote means the quote is with them, and Negotiation/Review means we are reviewing their feedback (example stages).
- Tell them the close date we have planned and the name of the opportunity owner.
- If they want to change quantities, pricing or dates, log a task for the opportunity owner with exactly what they asked for. Tell them the owner will reply within one working day (example).
- If they ask for something we have not quoted, hand the conversation to the opportunity owner.
Only share these details if the phone number they message from, or the email they give, matches the record. If it does not match, ask for the email on their account and check again. If it still does not match, hand the conversation to our team. Never share amounts or discounts that are not on the quote. Reply in the customer’s language.
Change the stage descriptions to match the sales process in your Salesforce org before you paste it.
What to connect
- Salesforce. An admin creates an external client app for AeroChat with a run-as user who can read contacts, accounts and opportunities and create tasks. Paste the consumer key, secret and your My Domain address in when AeroChat asks.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Salesforce, then switch it on. If it built the connection from Salesforce’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Which stages AeroChat explains to customers, and in what words.
- Whether it shares the close date and the owner’s name.
- Which requests go straight to the owner.
The result to expect
Buyers get the status of their quote in the chat, and your account managers get a logged task only when the buyer wants something changed. Fewer ’any update?’ messages reach your team.
Measure it with your own numbers: status questions answered without a handover, and time from enquiry to reply, for a month before and after.
Next: answer quote and deal status questions in chat.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Salesforce connection behind it. See what each channel does on the Salesforce integration page.
