Send WhatsApp Leads to Pipedrive Deals

By Alva Chew 4 min read Updated October 30, 2026

This recipe turns every serious chat enquiry into a Pipedrive deal, with the person, the stage and a note of what they asked about. Part of connecting Pipedrive to WhatsApp and AI chat.

What happens today

Enquiries come in on WhatsApp and Instagram, and the salesperson replying means to add a deal later. Some deals never get created, so they never show in the pipeline or the forecast. Others get created with no context, and the next person to pick them up has to scroll back through a phone.

The flow that works

  1. AeroChat answers the lead’s question first.
  2. It asks for their name and email, if it does not have them.
  3. It searches Pipedrive for a person with that email or phone number.
  4. It creates the person if needed and opens a deal in the first stage of your pipeline.
  5. It adds a note to the deal with a short summary of the conversation.

The recipe

Copy this into AeroChat

When someone asks about our services, answer their question first from our knowledge base. Then follow these steps.

  1. If we do not have their name and email, ask: “Can I take your name and email so our team can follow up?”
  2. Search Pipedrive for a person with that email, then with their phone number.
  3. If a person exists, update their phone number if it is missing. If not, create a person with their name, email, phone number and organization if they gave one.
  4. If the person has no open deal, create a deal titled with their name and the service they asked about, in the Qualified stage of the Sales pipeline (example values). Set the deal source to Chat (example).
  5. Add a note to the deal with a two-line summary of what they asked about and anything they said about budget or timing.
  6. If they ask to speak to someone, hand the conversation to the deal owner.

Do not create a second open deal for the same person. Do not ask for their email more than once. Reply in the customer’s language.

Change the pipeline, stage and source values to the ones your Pipedrive account uses before you paste it.

What to connect

  • Pipedrive. Copy your personal API token from Personal preferences, then API, and paste it in when AeroChat asks. Deals are created as that user unless the recipe names an owner.
  • Your knowledge base. Upload your service details to AeroChat so it can answer before it asks for details.

After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Pipedrive, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Pipedrive’s public documentation, the checklist asks you to check it once against the current docs.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide

  • Which pipeline and stage new deals start in.
  • When AeroChat asks for details: right away, or after answering.
  • Who owns new deals and who gets the handover.

The result to expect

Every serious chat enquiry is a deal in Pipedrive with a person, a stage and a note. Your pipeline and forecast include chat, and no one has to retype a conversation.

Measure it with your own numbers: deals created from chat, and deals won from chat, for a month before and after.
