Book Pipedrive Sales Calls from WhatsApp

By Alva Chew 4 min read Updated October 30, 2026

This recipe lets a lead book a call with the right salesperson in the chat, with the call added to the deal in Pipedrive. Part of connecting Pipedrive to WhatsApp and AI chat.

What happens today

A lead asks for a call on WhatsApp. The person replying checks with the salesperson, comes back with two times, and the lead replies hours later when one has gone. A few rounds later the call is booked, or the lead has gone cold.

The flow that works

  1. The lead asks to talk to someone.
  2. AeroChat finds their person and open deal in Pipedrive.
  3. It reads the deal owner’s scheduled activities and works out free times.
  4. It offers three slots and books the one they pick as a call activity on the deal.
  5. It confirms the time in the lead’s time zone.

The recipe

Copy this into AeroChat

When a lead asks to speak to someone or asks for a call, follow these steps.

  1. Find their person in Pipedrive by phone number or email. If there is none, ask for their name and email and create the person and a deal first.
  2. Find their open deal and its owner.
  3. Read the owner’s scheduled activities for the next three working days.
  4. Offer three free 30-minute slots between 10am and 5pm on working days (example hours). Leave at least 15 minutes between calls.
  5. When they pick a slot, create a call activity on the deal, assigned to the owner, with the subject Intro call and a one-line note of what they want to discuss.
  6. Confirm the date and time in their time zone. If none of the slots suit them, hand the conversation to the owner.

Do not book over an existing activity. Do not promise a call at a time not offered. Reply in the customer’s language.

Change the hours, call length and subject to the ones your team uses before you paste it.

What to connect

  • Pipedrive. Copy an API token from a user who can see the sales team’s activities, and paste it in when AeroChat asks.

After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Pipedrive, then switch it on. If it built the connection from Pipedrive’s public documentation, the checklist asks you to check it once against the current docs.

Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.

What you still decide

  • The hours, days and call length AeroChat offers.
  • Whether calls go to the deal owner or a shared sales calendar.
  • What happens when no slot suits the lead.

The result to expect

Leads book their own calls in the chat, and each call appears on the deal in Pipedrive with a note. Your team stops trading times back and forth.

Measure it with your own numbers: calls booked from chat, and how many of them happen, for a month before and after.

Next: book sales calls from chat.

Works on every chat channel

This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Pipedrive connection behind it. See what each channel does on the Pipedrive integration page.
