Answer Application Status Questions on WhatsApp from LeadSquared
This recipe answers “where is my application or enquiry?” in chat by reading the opportunity in LeadSquared, and logs the question on the lead so your team can see it. Part of connecting LeadSquared to WhatsApp and AI chat.
What happens today
A customer messages to ask whether their application or enquiry has moved. The person who sees the message has to open LeadSquared, find the lead, read the opportunity and translate the stage name into something the customer understands. When that person is busy, the customer waits, and often asks again on another channel.
The flow that works
- AeroChat finds the customer’s lead in LeadSquared by their phone number or email.
- It looks up their open opportunity and reads its stage.
- It replies with the message you wrote for that stage, not the internal stage name.
- It adds a note to the lead that the customer asked, and what they were told.
- If something needs a person, it hands the conversation over with the details.
The recipe
Copy this into AeroChat
When a customer asks about the status of their application or enquiry, follow these steps.
- Find their lead in LeadSquared by the phone number they are messaging from. If there is no match, ask for the email they used and search again.
- Look up the open opportunity linked to that lead. If there is more than one, ask which one they mean, using the opportunity names.
- Read the opportunity’s stage and reply with the matching message: Documents pending means “we still need your documents, you can send them here”, Counselling booked means “your session is confirmed, check your email for the time” (examples).
- Add a note to the lead: “Asked for status on chat, told: ” followed by your reply.
- If the opportunity is marked lost, or the customer is unhappy with the answer, hand the conversation to the opportunity owner in LeadSquared.
Never show internal stage names, amounts or notes. Only use the messages above. Reply in the customer’s language.
Replace the stage names and messages with your own LeadSquared pipeline before you paste it.
What to connect
- LeadSquared. Copy an administrator’s access key and secret key from Settings, then API and Webhooks, so AeroChat can read leads and opportunities and add notes. Paste them in when AeroChat asks.
- Your status messages. Write one customer-facing line for each stage in your pipeline. They go into the recipe.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect LeadSquared, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from LeadSquared’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.

What you still decide
- What the customer is told at each stage.
- How the customer is identified: phone number only, or phone and email.
- When AeroChat hands over to the opportunity owner.
The result to expect
Customers get an answer about their application or enquiry straight away, on the channel they used. Your team stops retyping stages into chat replies, and every status question is logged on the lead in LeadSquared.
Measure it with your own numbers: status questions answered without a handover, and the time your team spends on them, for a month before and after.
Next: send chat enquiries to LeadSquared.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same LeadSquared connection behind it. See what each channel does on the LeadSquared integration page.
