Answer Opportunity Status Questions from Close on WhatsApp
This recipe lets prospects and customers ask where their proposal or deal stands and get the answer from Close in the same chat. Part of connecting Close to WhatsApp and AI chat.
What happens today
A prospect messages to ask whether the proposal is coming, or what happens next. The rep is on calls all day, so the message waits. The prospect goes quiet, and the deal slips for a reason that had nothing to do with price.
The flow that works
- The prospect asks about their proposal or deal.
- AeroChat finds their contact and lead in Close.
- It reads the active opportunity’s status and owner.
- It tells them where things stand in plain words.
- If they want to talk, it creates a task for the owner.
The recipe

When someone asks about a proposal, a contract or a deal we are working on, follow these steps.
- Find their contact in Close by the phone number they message from. If there is none, ask for their work email and search by that.
- Find the active opportunities on their lead. If there is more than one, list them and ask which one they mean.
- Tell them the status in plain words. For example, Demo Completed means we are preparing their proposal, and Proposal Sent means it is with them for review (example statuses).
- Tell them the name of the person handling it and the expected close date if one is set.
- If they want to talk, create a task for the opportunity owner, due today (example), with what they want to discuss. Tell them the owner will call or message them.
- If they raise a concern about price or terms, hand the conversation to the opportunity owner.
Only share these details if the phone number they message from, or the email they give, matches the record. If it does not match, ask for the email on their account and check again. If it still does not match, hand the conversation to our team. Do not share opportunity values or confidence. Reply in the customer’s language.
Change the status descriptions to match the opportunity statuses in your Close organization before you paste it.
What to connect
- Close. Create an API key under Settings, then Developer, then API Keys, from a user who can see the team’s opportunities. Paste it in when AeroChat asks.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Close, then switch it on. If it built the connection from Close’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Which statuses AeroChat explains, and in what words.
- Whether it shares the owner’s name and close date.
- Which questions go straight to the owner.
The result to expect
Prospects get an answer while they are still interested, and reps get a task in Close when someone wants to talk. Fewer deals go quiet while a message waits.
Measure it with your own numbers: status questions answered without a handover, and time to first reply, for a month before and after.
Next: answer opportunity status questions in chat.
Works on every chat channel
