Send WhatsApp Leads to Close
This recipe makes sure every lead who talks to you in chat lands in Close, ready for your reps to call. Part of connecting Close to WhatsApp and AI chat.
What happens today
Your reps live in Close, calling and emailing the leads in their views. Leads who message on WhatsApp or Instagram sit outside it until someone copies them across. Some never make it into a rep’s view, so they never get a call.
The flow that works
- AeroChat answers the lead’s question first.
- It asks for their name, company and email.
- It searches Close for a contact with that email.
- It creates the lead and contact, or adds to the existing lead.
- It sets the status and adds a note of the conversation.
The recipe
Copy this into AeroChat
When someone asks about our product or services, answer their question first from our knowledge base. Then follow these steps.
- If we do not have their name, company and email, ask: “Can I take your name, company and email so the right person can follow up?”
- Search Close for a contact with that email, then with their phone number.
- If a contact exists, use its lead and update the phone number if it is missing. If not, create a lead named after their company, or after them if they have no company, with a contact that has their name, email and phone number.
- Set the lead status to Potential and the lead source custom field to Chat (example values).
- Add a note to the lead with a two-line summary of what they asked about and anything they said about team size, budget or timing.
- If they ask to speak to someone now, create a task for the lead owner, or our sales team if there is none, and hand the conversation over.
Do not create a second lead for a company that already exists. Do not ask for their email more than once. Reply in the customer’s language.
Change the status and custom field values to the ones your Close organization uses before you paste it.
What to connect
- Close. Create an API key under Settings, then Developer, then API Keys. Paste it in when AeroChat asks.
- Your knowledge base. Upload your product and pricing details to AeroChat so it can answer before it asks for details.
After you paste the recipe, AeroChat builds the workflow as a draft and shows a checklist: connect Close, add your knowledge base if the recipe uses one, then switch it on. If it built the connection from Close’s public documentation, the checklist asks you to check it once against the current docs.
Using a different system? If it has a public API, it connects to AeroChat the same way: describe what you want, paste in its key, and it runs.
Can’t find your tool? Message us in the chat on this page and we’ll tell you how it connects.
What you still decide
- Which status and fields AeroChat sets on new leads.
- When it asks for details: right away, or after answering.
- Who gets the task and the handover.
The result to expect
Every chat lead is in Close with a status and a note, so it shows up in your reps’ views and gets called like any other lead.
Measure it with your own numbers: leads created from chat, and opportunities opened from chat leads, for a month before and after.
Next: send WhatsApp leads to Close.
Works on every chat channel
This workflow runs the same way on WhatsApp, Instagram, Facebook Messenger, TikTok, Telegram, the chat on your website and email, with the same Close connection behind it. See what each channel does on the Close integration page.
