Connect Teachworks to WhatsApp and AI Chat

- Book trial lessons from WhatsApp. AeroChat takes the student’s details, checks tutor availability and adds the trial to Teachworks as a requested lesson.
- Take make-up lesson requests in chat. AeroChat finds the missed lesson, offers times when the tutor is free and requests the make-up in Teachworks.
- Answer “when is the next lesson?”. AeroChat finds the family by phone number and replies with the student’s upcoming lessons.
- Answer invoice and payment questions. AeroChat reads the family’s invoices and payments and replies with what is due.
- Add new families from the chat. New enquiries are created in Teachworks as a customer with a student.
How the connection works
AeroChat connects through the Teachworks API, documented at Teachworks’ API documentation. Through it, AeroChat reads your locations, services, tutors, tutor availability, families, students, lessons, invoices and payments. It can create customers and students, and create lessons, including requested lessons for your team to confirm.
Teachworks includes API access on its Growth and Premium subscriptions. To connect, open Integrations and Add-ons in your Teachworks account, turn on the API, then open its settings and generate an API token.
You describe the workflow in plain English, for example “when a parent asks for a trial lesson, check tutor availability in Teachworks and request the lesson”. AeroChat builds the workflow as a draft and asks for the Teachworks API token by name. You enter it in the AeroChat dashboard. It never passes through the conversation.

When a parent asks when their child’s next lesson is, find the family in Teachworks by the phone number they are messaging from. Ask which child if there is more than one student. Reply with the next three lessons: subject, tutor, date, time and location. If you cannot find them, ask for the parent’s name and the student’s name. Never share another family’s details.
Copy this into AeroChat
When a parent asks what they owe, find the family in Teachworks by phone number. Tell them any unpaid invoices with the invoice date, amount and due date. Tell them how to pay from our knowledge base. If they dispute an amount, collect the details and hand over to a team member. Never change an invoice.
